What information do we collect?

Your legal matter and related information
Financial information, if necessary

Copy of your passport/driving licence
Your National Insurance number which is required for any purchase transaction
Evidence of your proof of address including council tax bills, utility bills, credit card and bank statements all of which must be three months old or less at the date of production
Bank statements which are three months old or less showing the monies which are being utilised by you towards any purchase transactions
Details of any existing mortgages you have including mortgage account numbers together with mortgage instructions for any new mortgage you are having for any purchase or other property transaction
Any matrimonial consent orders in divorce or other Court proceedings which are required to be utilised in connection with property transactions arising out of any divorce/separation proceedings
Where there is any element of gift being made we collect in a copy of passport/driving licence and proof of address for the person making the gift to you (and by your acceptance of this privacy policy you are giving consent on behalf of those persons)
Evidence of source of funds for any purchase or similar transaction, ie documents showing how the funds were accumulated such completion statements from the sale of any property/premium bonds or other investment certificates which investments are cashed in and similar documentation

This information is collated for money laundering purposes and risk management in accordance with our regulator’s requirements
The information can be seen on our files in the event of any inspection by inspectors from our regulators or any file inspection by lending institutions (which are very rare)
We do not utilise your information (or that of any person making any gift to you whose ID we take up) for any marketing purposes
The persons with access to this information that you have provided are all members of staff of this practice and this information is taken up purely for the purpose of your transaction

How do we protect your information:
Your information is retained on the files relevant to your transaction and we take reasonable steps and organisational precautions to prevent the loss, misuse or alteration of your personal information
Your files are placed into storage (for compliance purposes with our regulators) after your transaction is concluded and any copy deeds we hold for you are retained at our offices
We cannot guarantee security of any data sent over the internet and would suggest bank details, mortgage account information and other sensitive information is not provided to us via this method.
Policy Amendments:
We may update this privacy policy from time to time. This information is issued with our client care letter at the time of the outset of the transaction and your signature of that client care letter is your agreement to our privacy policy as set out herein.
Your rights:
We want to ensure your personal information is up to date and accurate. If any of the information provided changes during the transaction, please let us know. After your transaction is finished and your files are placed into storage, your information will not be updated.
Third party websites:
Our website is not linked to others and we are not responsible for privacy policies or practices of any third party websites.

Our responsible person is Alpesh Patel.
Any complaints regarding use of the information you have provided must be reported to him and this will be investigated.
